Viewing your information online will allow us to see: What vehicles you can drive Any penalty points or disqualifications you have For more information visit: www.gov.uk/view-driving-licence Non UK drivers We will require your full driving licence from the country of residence. Your international driving licence if your driving licence is written in a different language to the one of the renting country. Your passport Proofs of address that match your license if your license displays your address (PLEASE SEE LIST ABOVE ON 1ST PAGE) A declaration for legal purposes about your points/penalties/endorsements if any. This is so that if involved in an accident we have a legal document stating your license endorsements if any. This will require your signature also. ‘DRIVER / CUSTOMER / HIRER’ means the person(s) nominated as the driver(s) under the RENTAL AGREEMENT. ‘RENTAL AGREEMENT’ means the document read and signed by the hirer on collection and return of the vehicle. It includes details of ‘Customer’, ‘Vehicle Details’, ‘Rental Period’, ‘Departure Checklist’ RESERVATIONS Booked and paid for in full by hirer as per Rental Agreement All prices quoted and charged in £ (GBP) Payment is accepted by bank transfer or paypal or cash if agreed Vehicle will not be released without full payment being received Vehicle will not be released without valid personal identification being produced A refundable excess deposit is payable on collection of vehicle for insurance excess. HIRER / DRIVER Driver(s) must be aged over 21 years Driver(s) must hold a valid full driving licence for at least 2 years Driver(s) are personally liable for all legal penalties during hire period Driver(s) are required to pay all fines whilst in possession of the van and any details will be given to DVLA about the driver of the vehicle Driver(s) must provide two separate forms of personal identification on collection of vehicle otherwise hire will be invalidated Details of all additional driver(s) must be provided before arrival Extra drivers can be added to the policy for £9 per day per person - they will also need to provide the same documentation as the original renter HIRE PERIOD ‘Hire Period’ refers to the dates agreed in the Rental Agreement Minimum rental period is 3 days subject to agreement Collection from 3pm / Return by 11am - EARLY COLLECTION AND LATE DROP OFF CAN BE ARRANGED FOR A FEE IF POSSIBLE AND THE VAN IS NOT GOING OUT OR COMING BACK THAT SAME DAY. PLEASE ASK FOR THE FEES ASSOCIATED AND IF POSSIBLE Collection / Return to agreed location at time of booking, non-standard locations will incur additional charge If the camper is returned after the 11am deadline (unless not previously agreed) there will be a charge of £20/hr up until the 3pm when you will be charged a full day rate. HIRE RATES INCLUDES Unlimited Mileage (within Scotland) - FEE MAY APPLY FOR ENGLAND/WALES/OVERSEAS Fully Comprehensive Insurance for UK and Republic of Ireland for one named driver (European cover is available for an extra fee) Full Breakdown & Roadside Assistance including onward travel. If you break down the recovery company will provide onward travel and/or accommodation. THIS IS SUBJECT TO PURCHASE AT £7 PER DAY AND IS PAYABLE BEFORE THE HIRE COMMENCES. IF NOT PAID BEFORE WE CANNOT COVER YOU. Excluding any insurance premiums, extra charges may be incurred if the driver to be insured has a traffic conviction, is using a non-UK or non-Republic of Ireland driving licence or is in an occupation which is deemed high risk. These charges will be passed onto the customers. Very rare occasions. We will supply full breakdown cover to cover any mechanical faults to the base chassis of the campervan if cover has been purchased INSURANCE Fully comprehensive insurance is provided to the driver/s named on the agreement. Insurance for additional drivers is charged at £9 per driver, per day. This is for the whole hire period. You cannot just insure drivers for part of the hire. Additional insurance charges may apply if the hirer has an occupation that is deemed to be high risk although this is very rare In the event of any damage to either the vehicle or third party property, the hirer will be liable for the first £500 (or higher depending on security excess deposit) This does not cover cost for replacement or repair of windows or tyre damage for which the hirer is responsible. THIS INCLUDES PUNCTURES/STONE CHIPS OR CRACKS TO WINDSCREEN ETC. I WILL ALWAYS TRY TO REPAIR RATHER THAN REPLACE IF FEASIBLE ***DIESEL BEING PUT INTO THE FRESH WATER TANK IS NOT COVERED UNDER INSURANCE AND IS CLASSED AND NEGLIGENCE. IT IS A VERY EXPENSIVE REPAIR THAT RUNS INTO THOUSANDS VERY QUICKLY SO PLEASE MAKE YOURSELF AWARE OF WHERE TO REFUEL AND WHERE TO PUT THE FRESH WATER - FULL LIABILITY IS ASSUMED BY THE INSURED DRIVER*** RELATIVELY COMMON DAMAGES SEEM TO BE WING MIRRORS AND REAR BUMPERS ON MOTORHOMES. PLEASE BE AWARE THAT THE MIRRORS RANGE ANYWHERE FROM £250 TO £700 + FITTING DEPENDING ON WHAT VAN IT IS. THE MIRRORS NOW HOLD BLUETOOTH MODULES/TEMPERATURE SENSORS/DAB AERIAL ETC SO ARE VERY EXPENIVE TO REPLACE. REAR BUMPERS ARE AROUND £1350 JUST TO BUY IN AND COME IN 1 PIECE + FITTING SO GET EXPENSIVE VERY QUICKLY SO PLEASE BE CAREFUL AND IF UNSURE CHECK THE CAMERA OR EXIT THE VEHICLE TO CHECK. WE HAVE HAD TO PUT THIS INTO THE TERMS SO PEOPLE ARE MADE AWARE AS 2024 WE HAD MORE THAN TRIPLE THE NORMAL AMOUNT OF DAMAGES. WE AS A COMPANY REALLY DO NOT WANT TO TAKE ANY OF YOUR DEPOSIT MONEY. WE WANT YOU TO RETURN AS VALUED CUSTOMERS AND BRING BACK THE VAN IN THE SAME CONDITION AS GIVEN. Driving by an unauthorised driver invalidates insurance. It is a criminal offence to drive without insurance in the UK and Ireland punishable by law. Failure to declare an accident is a criminal offence punishable by law The theft of the hire camper will not be covered by insurance if the ignition keys are left in or on the vehicle whilst unoccupied and the hirer shall be held fully responsible for a replacement vehicle. Insurance does not cover or include the hirer's personal belongings. No other hire insurance is acceptable for the rental. Damage to the roof will not be covered under the insurance and is the drivers responsibility. PLEASE MAKE YOURSELF AWARE OF THE HEIGHT OF THE VEHICLE DEPOSIT The refundable deposit on your campervan hire covers both the insurance excess in the event of a collision and the proper return of the vehicle in the same condition as it was let out to the hirer. This amount will need to be deposited into our bank account as required by our insurance company before the hire commences. Alternatively if booked through the website we can hold the deposit but this may incur extra charges as we get charged to do all of this through a 3rd party. It is fully refundable within 14 days (although normally 48 hrs) of return of the vehicle on the following conditions: No damage to the campervan of any sort on the interior, exterior, curbed wheels, damaged tyres, chipped glass etc Please refrain from cooking with heavy smelling foods like curries etc unless well ventilated as we find it sticks to everything in the van and takes several days to clear the smells for the next customers. Also cooking with foods capable of staining such as TUMERIC etc that stains worktops and fabrics alike. Campervan returned to the agreed location, on the agreed date and time Campervan returned in the same condition as it was let out - the interior cleaned including all cooking appliances, waste tank emptied, toilet cassette NOT ONLY EMPTIED BUT RINSED OUT AND CLEANED INSIDE and the fuel tank full. All items are returned at end of hire in clean and full working order as per the Rental Agreement. Anything broken please report immediately so it gives us chance to order in for your return if needed Anything missing or damaged from inventory will be charged for upon checking when cleaned This security deposit will be used to fund any loss or damage whatsoever to equipment, fixtures, fittings, windows, tyres or negligent damage to the vehicle and the hirer agrees to pay any additional costs over and above the security deposit value should damages exceed the security deposit value for NEGLIGENT damage. We reserve the right to increase the security deposit for specific events eg: festivals or rallies etc An additonal cleaning fee of £35 .00 will be charged against the deposit of the vehicle if not returned with the interior in a clean condition including appliances. It helps us massively to turn around for the next customers bringing it back in a nice condition PET HAIR IS TIME CONSUMING TO CLEAN. WE LOVE ANIMALS. LOVE THEM. BUT PLEASE MAKE AN EFFORT BEFORE RETURNING TO CLEAN THE HAIR THROUGH BRUSHING OR VACUUM METHODS. WE STILL CLEAN THOROUGHLY WHEN YOU RETURN BUT IT CUTS OUR TIME A BIT WHEN BROUGHT BACK CLEAN. WE HAVE TO DEEP CLEAN EVERY TIME AFTER A PET HIRE INCASE OF ANY ALLERGIES ETC FOR NEXT CUSTOMERS SO EVERY LITTLE HELPS. WE ACCEPT PETS IN ALL OF OUR VANS SO PLEASE RESPECT THESE RULES. THANKS SO MUCH An additional cleaning fee for pets of £50 will apply and refunded if returned clean. This is just to safeguard ourselves as so many customers promise to return it clean and do not. An additional fee of £75.00 will be charged against the deposit if the toilet and waste tank are not EMPTIED AND RINSED INSIDE AND CLEANED prior to the return of the vehicle. We not only have to travel 40 minutes each way to the nearest chemical waste disposal taking time away from cleaning the van, but it's also not the nicest job emptying other people's waste. Too many customers have been unorganised in having to empty the chemical waste on the last night and then clearly empty it somewhere but leave the inside of the cassette dirty with the remnants which we then have to clean out. Sorry to mention this in the terms but 2024 it happened more than any other season Our suggestion is to use a campsite the last night and use their facilities to empty waste water and chemical waste and give the van a clean before bringing back. VIOLATION OF TRAFFIC LAWS AND REGULATIONS Driver(s) are personally liable for all legal penalties and fees pertaining to any traffic violation infringements under the current Road Traffic Legislation applicable in Northern Ireland or the Republic of Ireland We will hold your personal details and card details for 30 days after the rental agreement finishes in case any traffic violation infringements are presented to us for your hire period. The driver(s) will still be liable for any penalties and fees received after this period. We will notify the driver(s) of any speeding or parking fines incurred throughout the hire period. We will also forward liability to the DVLA and relevant authorities to remove ourselves from liability ANY PARKING FINES OR INFRINGEMENTS PAID IN SITU PLEASE KEEP THE RECEIPT SO WE HAVE A PROOF OF PAYMENT USE OF THE VEHICLE During the rental period, the hirers agree that the vehicle will not be; Driven other than in a cautious, prudent and normal manner or used in a manner which could cause damage Driven in a prohibited area Driven by a person under the influence of alcohol or drugs or with a blood alcohol level in excess of that permitted by law (ZERO IN SCOTLAND) Driven by persons under the age of 21 years when renting any of our camper vans Driven by a person who is unauthorised to drive the vehicle Used to carry more persons than is detailed on the rental agreement (maximum 6 persons in accordance with provision of seatbelts) Left with the ignition key in or on the vehicle while it is unoccupied (invalidates insurance) Damaged by submersion in water or in contact with salt water Used for any illegal purpose for any off roading, race, rally or contest Used to tow any vehicle or trailer Used to carry passengers or property for hire or reward Used to carry volatile liquids, gases, explosives or other corrosive or inflammable material Driven on any road surfaces other than sealed / bitumen roads (no off roading) Please refrain from cooking with heavy smelling foods like curries etc unless well ventilated as we find it sticks to everything in the van and takes several days to clear the smells for the next customers. Also cooking with foods capable of staining such as TUMERIC etc that stains worktops and fabrics alike. Please do not turn on the water heaters (OBAN,GLEN,MULL) without water in the vehicle as you will damage the heating element Please do not put OIL, FOOD, ANY OTHER WASTE down the plug holes in the sink, shower or toilet as this will block the pipes. Instead wait for the oil to harden and use tissue to remove. If anything at all gets damaged please notify us at the earliest convenience. Don't be afraid to tell us. Things happen. But it allows us to order in the replacements. BREAKDOWN 24 hour Roadside Assistance is provided under the hire contract. The hirer may instruct repairs to the maximum value of £50 (GBP) We must be notified by telephone on +447427 386225 for repairs in excess of this amount. Reimbursement will be made only on production of valid receipts. We will pass your details on to the breakdown so they can be in direct contact with you. It is handy in these situations in the Scottish highlands to use the website What3words to pinpoint your exact location. CANCELLATION BY US We reserve the right to cancel a reservation at the proposed commencement of hire as follows: Named Driving Licence is not produced or valid in accordance with stated conditions Failure to provide funds for insurance excess Over occupancy of vehicle, maximum 6 occupants or 2 in the 2 berth vans Address on the driving licence does not match the billing address Additional proof of id is required Hirers from outside UK must provide a valid passport and driving licence as proof of id we also reserve the right to refuse to hire any person, without stating cause. Occasionally although very very rare cases cancellation may occur for mechanical breakdown of the vehicle but this is exceptionally rare. CANCELLATION BY HIRER If you cancel the rental more than 30 days prior to the rental date, your booking deposit will be forfeited but you will not be liable to us for any other amount. If you cancel the rental less than 30 days prior to but more than 14 days prior to the rental date, you will be liable for 50% of the remaining rental charge. If you cancel the rental 14 days or less prior to the rental date, you will be liable for 75% of the remaining rental charge. THE £250 BOOKING FEE/DEPOSIT IS A RESERVATION FEE AND NON REFUNDABLE HIREABLE EXTRAS Other hireable extras available for the duration of hirers’ stay include: EXTRA GAS CANNISTER (LISMORE VAN) £47 AT TIME OF WRITING (MAY INCREASE) PORTABLE BBQ - £30 PER HIRE IF AVAILABLE PADDLE BOARD - £30 PER HIRE IF AVAILABLE EARLY PICK UP/RETURN (DEPENDANT ON OTHER HIRES) FEE VARIES PLEASE ENQUIRE TRANSFERS - AIRPORTS - GLASGOW £30 ONE WAY - PRESTWICK - £60 ONE WAY - EDINBURGH - £90 ONE WAY BUS STATION/TRAIN STATION GLASGOW - £35 ONE WAY CONDITIONS OF HIRE The company’s campervan rental agreement is the sole contract for hiring the vehicle between us and the hirer(s), driver(s) and/or passenger(s) The company takes no responsibility for any delay, loss, damage or injury that a hirer might experience no matter how it is caused or by whom. These conditions cannot be varied or altered or waived COLLECTION AND RETURN Collection and return of the van to agreed location specified at time of booking as set out under ‘hire period’ in the rental agreement. Agreed location for collection / return as specified Collection – please allow 45 minutes to complete the documentation and demonstration of the vehicle. Vehicle will be handed over in a clean condition and in sound working order. There are no refunds for early returns. We will provide a video beforehand on the workings of the campervan or motorhome to give you a headstart on how everything works and to list any questions you may have. This also speeds up your handover time and gets you on the road quicker. Please do not hesitate to ask any questions no matter how silly or stupid you may think they are. There are no silly questions. Return – please allow 30 mins to complete documentation if needed and return of van and to unpack/clean if needed. Late Return – An additional charge up to a daily rate will be payable for late returns. Early Return – will not refund any portion of the hire or a requested early/late pickup The vehicle remains on hire until it has been fully inspected at the time of cleaning. If damage is found Cohen's Campers LTD has 14 days to obtain a quote from the relevant persons and charge the customer. All correspondence will be relayed to the hirer. At this point the hirer will be charged on the deposit taken at arrival. AS EXPLAINED PREVIOUSLY EARLY/LATE PICKUPS AND DROP OFFS CAN BE ARRANGED FOR A FEE DEPENDING IF THE VEHICLE IS TO GO BACK OUT THAT DAY OR RETURN THAT DAY. PLEASE ENQUIRE IF NEEDED PETS We love animals at Cohen's Campers and we allow well behaved pets in the vans. Please make sure to declare intentions to take a pet before booking. All bookings with pets will be charged £50 for additional cleaning per hire which is refundable upon hair free clean return. Any evidence of non authorised pets will have a £50 fee added.
